To prepare a personalised workwear order, separate each role's needs from branding preferences. A clear list lets you review garments, sizes and design before confirming the quote.
Make a list by person or role
Specify garment type, size, quantity and colour. Add measurements if sizing is uncertain and check the manufacturer's chart. Do not assume every brand has the same fit.
Identify protection requirements separately
When a task requires protective clothing, communicate those requirements before selecting or customising the garment. Selection and any modification must follow the manufacturer's applicable instructions.
Prepare the logo and placement
Attach a legible file, colours and approximate size. Specify whether the design goes on the chest, back or sleeve. The technique and result will be reviewed for the garment and design, without assuming every combination is possible.
Example allocation: ten people, twenty garments
Suppose ten people need two T-shirts each, all in one reference and colour. If two wear S, four M, three L and one XL, the order looks like this. This is a calculation example, not a suggested size distribution for your team.
| Size | People | Garments per person | Units |
|---|---|---|---|
| S | 2 | 2 | 4 |
| M | 4 | 2 | 8 |
| L | 3 | 2 | 6 |
| XL | 1 | 2 | 2 |
The total is 20 garments. Put shared spares on separate lines with their sizes. If you combine models or colours, repeat the allocation for each combination; do not group every size M as though it were the same item.
An order message you can adapt
Please quote for 20 T-shirts, [reference], [colour]: 4 S, 8 M, 6 L and 2 XL. The same logo at [position], [width] cm wide. Our available artwork is attached. Delivery is needed in [town] by [date]. Please itemise garments, branding, artwork preparation, taxes and transport, and confirm availability and lead time.
Before approval, check the total, the logo version and whether the stated date means dispatch or receipt. Keep the allocation using internal codes; you do not need to send employees’ names to obtain a size-based quote.
Confirm the order terms
Include the date you need the clothing and ask for the quote to specify garments, customisation, quantities and delivery terms. For aprons, see the guide to formats and fabrics.
